Based in Henderson the HSEQ Administrator focuses on records management, reporting, compliance administration, induction coordination, and day-to-day support for HSEQ management team, personnel and operations teams.

What’s Involved
- HSEQ Administrators must work collaboratively, share workload effectively, and maintain knowledge across all tasks to ensure continuous operational coverage.
- Manage IT service requests for the HSEQ department, including new starters, access permissions, and other HSEQ-related system requirements.
- Coordinate HSEQ office upkeep and maintain workplace presentation standards with the HSEQ office team members.
- Provide meeting administration support, including scheduling, room bookings, recording minutes, and tracking follow-up actions.
- Assist with the distribution of HSE and Q alerts, toolbox talk materials, and internal HSE and Q communications.
- Support new starter onboarding, including assigning HSE inductions, issuing induction cards, maintaining records, and updating training registers and matrices as required
- Provide administrative support for the HSE and Q Management Systems, including data entry, enable account access to JIRA and other HSE & Q systems, maintaining registers, action tracking, and supporting trend analysis.
- Prepare and proof-read regular HSEQ reports, performance dashboards, and statistical summaries for leadership.
- Coordinate purchasing activities for the HSEQ department, including raising and processing purchase requisitions and purchase orders within the management system (e.g. IFS).
- Assist in monitoring HSEQ department expenditure and tracking budget performance
You’ll Need
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Administrative Knowledge, including understanding office procedures and policies, record keeping and compliance, confidentiality and data protection, and financial basics (invoicing and expense tracking).
- Data entry and database management.
- Familiarity with admin software (e.g. ERP tools).
- Strong organisational skills, including time management and prioritisation, scheduling meetings and managing calendars, filing and document management, multitasking and handling multiple deadlines, and attention to detail.
- Professional communication skills, including clear warm and friendly verbal and written communication, professional email writing, customer service and client interaction focused.
- Problem-Solving & Decision-Making. Identifying issues and finding practical solutions within administrative tasks.
- Previous administration or team support experience
- Strong organisational and multitasking abilities
- Excellent attention to detail and document management skills
- Strong communication and interpersonal skills
- Ability to work collaboratively with in a team environment
- Cert III in Business Administration (Desirable)
- Eligibility for a Defence Security Clearance
