About the Opportunity
The Executive Assistant provides high-level administrative, secretarial, and organisational support to the President â Australasia ("PAA") and Head of Human Resources ("HoHR"), managing complex schedules, correspondence, travel and confidential information. This role requires exceptional organisational skills, discretion and the ability to anticipate needs in a fast-paced environment. The Executive Assistant drives executive efficiency while serving as a key liaison between the executive, staff and clients.

In addition to the key responsibilities outlined below, you will also be required to complete any other tasks or duties as reasonably requested by your manager, delegate or member of the Austal management team.
What’s Involved
- Provide a personal, confidential, secretarial & administration service to the President -Australasia and Head of Human Resources in respect of their internal and external activities.
- Strategic diary management and planning for the President - Australasia and Head of Human Resources.
- Prepare for all meetings in a timely manner.
- Organise travel and meeting arrangements.
- Relevant timely information presented, facilitating informed discussion and decision making.
- Access, enter data and produce reports from the various database systems.
- Initiate, facilitate and develop projects or initiatives as indicated by the President - Australasia and Head of Human Resources.
- Ensure a favourable and professional impression of the President - Australia and Head of Human Resources office is presented to all stakeholders.
- General Support for Regional Offices.
- Organise travel arrangements, assist with conference bookings, registration at exhibitions and seminars and regular liaison with others to ensure the coordination of travel and schedules.
- Information packs are developed in a timely manner and represented.
You’ll Need
- Minimum Certificate IV in Business Administration or equivalent.
- Minimum of 3 years’ experience in a similar role.
- Current Drivers License.
- Advanced oral and written communication skills are required.
- Exceptional time management and organisational skills with the ability to work to tight deadlines whilst managing multiple tasks.
- High attention to detail and accuracy.
- Proficient computer skills including MS Word, Excel, Power Point and Outlook.
- Ability to work both autonomously without supervision and/or as part of a team.
- Advanced planning, diary management and organisational skills involving high profile events and visits up to 12 â 14 months ahead.
- Exceptional interpersonal and communication skills, with the ability to liaise effectively with stakeholders at all levels of the organisation.
